Book 20 minutes

Operations that don't happen behind a desk, coordinated by AI agents.

They coordinate the people who install, deliver, transport and restock, through your existing systems. They assign, confirm, track in real time and verify that the work got done, without anyone chasing it.

Has it arrived?11:47

From the case to the customer's door, someone chases every step

Before the technician heads out, someone validates the case in several systems and contacts several people to confirm who goes and when. On the day of the service, someone asks whether they've arrived and whether conditions allow the work to be done.

What goes wrong is discovered late. The delivery report describes what happened a month ago. And if the driver doesn't report the delivery, whether by app, portal, device or WhatsApp, the company finds out when the customer complains.

No step is hard. They all depend on someone doing them on time.

The agent carries the case. Your team decides what the rules don't cover.

It's the same case, without anyone chasing it: the agent moves it forward and stops where a person is needed.

Filled mark: your team. Hollow mark: the agent.

  1. 1

Your team sets the goal, the rules and how far the agent can decide on its own.

  2. 2

The agent takes the case as soon as it comes in and validates its data in your systems.

  3. 3

The agent confirms who goes and when with the person doing the work and with the end customer.

  4. 4

The agent asks on the day of the service whether they've arrived and whether conditions allow the work. Whatever the rules anticipate, it resolves.

  5. 5

Your team decides what the rules don't cover. The agent stops and hands over the case with what it tried and what's missing.

  6. 6

The agent verifies that the work got done and closes the case.

  7. 7

Your team reviews the log and writes the rule that was missing. With it, today's exception becomes next month's normal case.

The agent acts on the rule your team defined, and those rules always run the same way (deterministic execution). The language model interprets messages and drafts replies; it doesn't decide your rules. It leaves a record of every step in the case log: system, action, channel and result.

one record per step

If a piece of data is missing or a system doesn't respond, it stops and hands the case to a person. It doesn't make up data that isn't in the system, and it doesn't change a rule on its own: only your team changes them.

Three steps call for judgment and belong to your team. The other four just need someone to do them on time.

Book 20 minutes

Find your process in one of four patterns

The industry changes, the system changes, the pattern doesn't.

Each pattern has a defined agent. With your team, we adapt it to your systems, your rules and the exceptions in your operation.

/chasing

The process only moves if someone keeps pushing.

An advance payment, a document or an approval is waiting on a reply that never comes, and everything that depends on it stalls.

The agent finds whoever needs to respond, on the channel where they actually reply, logs the result and escalates to your team only what calls for judgment.

/repetitive-work

Someone redoes the same work every day.

Reconcile, cross-check against catalogs, correct, upload to the other system, put the report together. Tomorrow, from scratch.

The agent runs the whole sequence, including each system's wait times, with your rules, and hands you the finished result. You decide which actions need your sign-off; for those, the agent shows you what it's about to do and waits for your confirmation.

See this pattern
/finding-out-late

You find out when there's nothing left to do.

Each metric gets reviewed when it's someone's turn, and by then the problem has already cost time or money.

The agent checks every day and warns you before a case crosses the threshold you set. It also measures what nobody measures today.

See this pattern
/limbo-between-teams

The case gets lost between two teams.

A case moves from one team to another with no single format and no owner. To know where it is, you have to ask or wait for the next meeting, and meanwhile whatever was recoverable is lost.

The agent carries the case from a single record. It notes where it got stuck and why, and flags whatever has been sitting too long.

See this pattern

The pattern shows up wherever the work happens on the street or in the warehouse: transportation and fleets, parcel delivery, distribution, beverages and retail.

Today we work in fleet telematics, beverages and specialty retail. We're starting to explore healthcare.

If your operation isn't listed here, it probably still fits. The filter isn't the industry or the system you use; it's whether your core process depends on someone pushing it.

Start with one process

Four to six weeks after we get your access, you see the agent working with your own data.

Pick the process that eats up the most of your team's hours chasing someone today. We work with your systems and real cases, not a demo. Before we start, we put in writing which systems it touches, who validates, how it's measured and how long it takes. Every week you get a written update on progress and the exceptions that came up: the cases no written rule covers. If the timeline changes, the change is in writing.

What we need from you

  • Access (users, permissions or credentials) to the systems, issued by whoever administers them. It usually takes a while: request it early.
  • Real cases, in volume. With few cases, few exceptions show up.
  • Someone from operations to validate, not full time.
  • A team that knows exceptions nobody wrote down will come up: finding them is the point.

Where your data lives and who issues access What your committee will ask

What you keep

A report with the results of your cases and a record of every exception and how it was resolved.

What it doesn't solve

Your entire department. It solves one well-scoped process and leaves you the process model (its rules, exceptions and who decides), the starting point for the next one.

Security and data

Where your data lives: on Neuraan's infrastructure, with its own isolation for each agent. If your contract requires it, in a dedicated environment. It isn't used to train models.

Who issues access: your team. The agent signs in with its own user, not a person's.

What gets logged: every step, in the case log.
